Manage Exchange for Other Items RMAs and Orders: Shopify Checkout

Overview



This tutorial will walk you through the steps to manage exchange orders when a customer opts to exchange an item with another item from your store instead of a refund. The article will also reflect on the changes you will see in the AfterShip Returns admin portal once you receive exchange orders and how to quickly identify and process them.


RMA management in AfterShip Returns



Order details




When a customer submits a return request to Exchange for Other Items through the returns page, an RMA request will be created in AfterShip Returns
The new RMA will be displayed on the Returns management dashboard with Exchange for other items as Resolution



The RMA detail page will display the following information

a. The Resolution row will display Exchange for other items
b. The item(s) the customer is returning
c. The item customer is exchanging the original product with
d. The return method customer has opted for
e. The original order number and exchange order number

Excess amount and refund


If the customer has opted for a product that is higher in value than the returned product and has paid the excess amount while submitting the return request, the RMA detail page will show the Paid status with a detailed breakdown of the transaction, including the exchange amount, return amount, cost of shipping, and taxes.



If the customer has opted for a product that is lower in value than the returned product and is eligible for a refund, the RMA detail page will show the Refund pending/ Refunded status with a detailed breakdown of the transaction, including the exchange amount, return amount, cost of shipping, and taxes.




Exchange order management in Shopify



Order details




When a customer submits a return request to Exchange for Other Items through the returns page, an exchange order will be created in Shopify
On the Orders dashboard, the exchange order will be the Tags of the original order number (#1003) and AfterShip exchange order
The order detail page will also showcase [AfterShip Returns Center] Exchange order from #1003, RMA #JL6ZL4R6 under the Notes section



Excess amount and refund


If the customer has opted for a product that is higher in value than the returned product and has paid the excess amount while submitting the return request through AfterShip Returns return portal, the exchange amount, return amount, cost of shipping, and taxes will all be absorbed in the Discount as it is the only field in Shopify that can be used as a deduction from the original order amount.



If the customer has opted for a product that is lower in value than the returned product and is eligible for a refund, a 0-value order will be created in Shopify, and the refund amount will be initiated back to the customer’s chosen mode of payment via AfterShip Returns.
